Job settings

The Job settings tab decides how jobs behave in one brand: what their numbers look like, when a late job chases the person doing it, and whether WorkWing picks the engineer for you.

Open Settings, pick the brand in the Scope selector, click Brand settings, then the Job settings tab. You need the Tenant Admin role.

Every job gets a number when it’s created, built from a pattern you write. Type the pattern into Job Number Format and the Preview underneath shows what the next job will be called, with Next number telling you where the counter has got to.

Anything you type that isn’t a token comes out as you typed it, so JOB{NUM:5} gives JOB00001.

Token What it becomes Example
{NUM:5} The next number, padded with zeros to five digits 00001
{NUM:5,x} The same, padded with a character you choose xxxx1
{NUM} The next number, unpadded 1
{YYYY} The year, four digits 2026
{YY} The year, two digits 26
{MMM} The month, three letters FEB
{MM} The month, two digits 02
{DD} The day, two digits 04
{HH} The hour on a 24-hour clock 14

Three patterns worth stealing:

Pattern Gives you
JOB{NUM:5} JOB00001, JOB00002
WO-{YYYY}-{NUM:4} WO-2026-0001, WO-2026-0002
{YYYY}{MM}-{NUM:4} 202602-0001, 202602-0002

Padding tops out at ten digits, and the finished number has to fit in thirty characters, so keep the fixed text short if you’re using several date tokens.

Changing the format changes new jobs only. Jobs already created keep the numbers they were given, and the counter carries on from where it was rather than restarting.

A job shows as overdue in WorkWing the moment its scheduled end time passes. This setting, in minutes, is how much later the assigned engineer gets told. Fifteen minutes is the starting value, and it stops a phone buzzing about a job that’s running two minutes long.

Auto-Assign Jobs hands new jobs in this brand to the system to allocate, scored on skills, how close somebody is, and how much they already have on. The switch here turns it on for this brand; the scoring and the rules live under Auto-Assignment, once for the organisation. Auto-assignment covers what it will and won’t touch.

Auto-assignment is included on the Professional plan.

Completion requirements and the default priority belong to the job type, not the brand, so the same brand can demand a signature on one kind of work and start another as Urgent. See Creating a job type. The tab says as much in a note at the bottom.

Business hours belong to the brand but have their own page: pick the brand in the Scope selector and click Business hours.
