Teams and skills

Teams answer “who is in the north crew”. Skills answer “who is allowed to touch a gas boiler”. Both live under Settings > Resources, on the Teams and Skills Catalog tabs.

A team is a named group of resources: North region, Heating, Weekend crew. Whatever cut is useful to you.

Teams belong to a brand, so each brand keeps its own. Someone can be in several teams, and in different teams under different brands.

Teams are included on the Basic plan and above.

On the Teams tab, Create Team takes a Team Name and an optional description of what the team covers. The list shows each team, its description and how many members it has.

Open a team and Add Team Member picks a resource to put in it. The member list shows each person’s current availability, and the menu on a row takes them out again.

Deleting a team empties it and removes the team. The people in it are untouched.

Creating, editing and deleting teams needs the Operations Manager, Brand Administrator or Tenant Admin role. Operators can see teams but not change them.

A wallboard can be narrowed to one or more teams, which is how you put a screen up per depot. Teams are also a filter in the picker when you’re looking for someone to assign, so you can choose from the north crew without scrolling past everyone else.

A skill is something a person is qualified to do: Fibre splicing, Gas Safe, IPAF. The catalogue is organisation-wide, so a skill defined once is available under every brand.

The Skills Catalog tab lists what you’ve defined, with each skill’s categories, whether it tracks proficiency, whether it tracks certification, and how many people hold it.

Create Skill asks for a Skill Name and an optional description, then two decisions:

  • Track Proficiency Levels lets each holder be recorded as Beginner, Intermediate, Expert or Certified. On for new skills.
  • Track Certification adds a certified flag and an expiry date to each holder. Off for new skills.

Categories group related skills. Pick from the ones you have or type a new name and create it from the same box.

Deleting a skill deactivates it rather than destroying it: it disappears from the pickers, everyone who already holds it keeps it, and Reactivate brings it back. If people hold the skill, WorkWing tells you how many before you go ahead.

Managing the catalogue is restricted to Tenant Admins.

Open a resource and go to the Skills tab. Add skill picks one from the catalogue, and only from the catalogue, which is what keeps skill names consistent enough to match against. Set the Proficiency and, where the skill allows it, tick Certified and give a Certification expiry. There’s a notes box for anything else worth recording, such as a certificate number.

Anyone who can view a resource can read their skills. Only Tenant Admins can add, edit or remove them.

Certificates themselves, the PDFs and photos, go in Documents & Certificates on the resource’s Details tab, which has its own expiry tracking. See Resource details.

A job type can list the skills someone needs for that kind of work, each marked mandatory or optional and with a minimum proficiency. Auto-assignment refuses to give the job to anyone missing a mandatory one, and prefers people who also hold the optional ones. See Creating a job type.

Assigning by hand doesn’t stop you: the picker shows everyone, and it’s your call. Check the job type’s required skills against the person’s Skills tab if the work needs a ticket.

Every resource also has free-text tags, set on their record. Use tags for labels you want to filter on without setting anything up first, such as a van type or a shift. Use teams and skills when the grouping needs to mean something to auto-assignment or a wallboard.
