Adding a customer

Creating a customer takes a name and a type. Everything else can wait until you have it.

You need the Operator, Operations Manager, Brand Administrator or Tenant Admin role.

  1. Open Customers and click Create Customer in the top right.
  2. If you run more than one brand, pick the brand first. A customer belongs to one brand, and you can’t move them later, so if the same company buys from two of your brands they need a record under each.
  3. Fill in the form and click Create Customer.

WorkWing opens the new customer’s page. If you close the form before saving, nothing is kept.

The form is your brand’s Customer layout, so a colleague may have renamed a field, hidden one or added your own. Out of the box it comes in four sections.

Basic Information starts with Customer Type, Person or Organization, and the form changes to suit it. The type is fixed once the customer is saved, so choose it deliberately. Name is required: a person’s first name, or the organisation’s name. A person also gets Surname.

Contact Information holds Email Address and Phone Number for the customer. An organisation also gets Contact First Name, Contact Last Name, Contact Email and Contact Phone for the person you actually deal with there. The Email Opt-in and SMS Opt-in boxes decide whether WorkWing may write or text them about their jobs. Leave them off and the customer gets nothing.

Address is the site address: Address Line 1, Address Line 2, City, State/Province, Postal Code and Country.

Advanced is collapsed until you open it. It holds Notes for your team and two fields that link this record to an account in another system.

Any custom fields you’ve added for customers appear in the section your brand put them in. Files can’t be attached until the record exists, so the attachments panel says as much until you save.

Type an address on the form and WorkWing turns it into the customer’s primary location when you save, then looks it up on the map so jobs at that address can be dispatched and routed. Change the address later and that same location is updated in place.

If WorkWing can’t find the address on the map you’ll get a warning. The customer is saved either way, but until someone drops a pin the site won’t show on the dispatch map. Managing locations covers how to fix that, and how to add the other sites a customer has.
