Parts catalogue
The parts catalogue is the list of parts and materials your team can record as used on a job. Keeping it as a list rather than free text means the costs are consistent and you can report on what you actually get through.
Go to Settings > Parts Catalog. Anyone can look at the list. Adding, editing and removing parts needs the Tenant Admin or Brand Administrator role.
Adding a part
Section titled “Adding a part”Click Add Part and fill in:
- Part Name, what your team will recognise it by.
- Description, if the name isn’t enough on its own.
- SKU, your stock code. Optional.
- Unit of Measure: each, metre, kilogram, whatever you count it in.
- Unit Cost, what it costs you.
- Active. Only active parts can be added to a job.
Click Create. The part appears in the list with its SKU, cost, unit and status, and the pencil and bin icons on the right edit and remove it.
Pricing per brand
Section titled “Pricing per brand”The same part can cost a different amount in different brands, or not be offered in one at all. Click the arrow at the start of a part’s row to open Brand Pricing.
For each brand you can set an Override Cost, which replaces the default for jobs in that brand, or tick Hidden to keep the part off jobs in that brand entirely. A brand with no override says Using default and uses the cost you set on the part.
How parts reach a job
Section titled “How parts reach a job”When the job type has Allow Extra Parts switched on, the job gains a Parts section: office staff record parts from it on the job detail page, and field workers from their phone. See Creating a job type.
Either way, the cost is recorded onto the job when the part is added, taking the brand override if there is one and the default cost otherwise. Changing a price in the catalogue later doesn’t rewrite the jobs already done.
Retiring a part
Section titled “Retiring a part”A part that has been used on a job can’t be deleted. WorkWing stops you rather than tearing a hole in the job history.
Edit it and turn Active off instead. It disappears from the picker on new jobs and stays on the ones it was recorded against.
Over the API
Section titled “Over the API”Give an API key the Read Parts Catalogue scope and your own software can read the list, brand pricing included. The Job Parts group is separate, and covers reading, adding and removing parts on a job. See API keys.
