Recurring jobs
Work that happens on a rhythm doesn’t need creating by hand every time. Set up a recurring schedule once and WorkWing books each visit for you.
Creating a schedule needs the Tenant Admin role, or a custom role granted permission to create recurring schedules. See Roles and permissions.
Setting one up
Section titled “Setting one up”Schedules are built from a job, so you get one visit right first and then repeat it.
- Open a job for the customer, with the job type, time and duration you want repeated.
- Click Make Recurring in the header. It’s there as long as the job has a customer, isn’t already part of a schedule and isn’t closed.
- Check the Job Type and set a Preferred Resource if one person always does this work.
- Choose the Recurrence.
- Set Time of Day, Duration (minutes), Starts On, and Ends On if it should stop. Leave the end date empty and it runs on.
- Add notes for whoever picks up each visit, then click Create.
The job you started from stays as it is. It isn’t the first occurrence and it doesn’t get linked to the schedule, so the run begins on the start date you set.
The patterns
Section titled “The patterns”Daily. Every day, or every few days.
Weekly. Every week, or every few weeks, on the days you pick. A Monday, Wednesday and Friday clean is one schedule, not three.
Monthly. Every month, or every few months, on either a Day of month (the 15th) or a Weekday of month: the 1st, 2nd, 3rd, 4th or Last Tuesday. The last-weekday option is what you want for “the last Friday of the month”, which a fixed date can’t express.
What gets created
Section titled “What gets created”Jobs appear 14 days before they’re due, so a fortnight of work is always visible on the dispatch console without cluttering the board with next year’s.
Each one arrives Scheduled, at the time of day you chose in the brand’s time zone, at the job type’s default priority (Normal, unless you’ve set one for the job type through the API) and with the notes from the schedule. If you named a preferred resource, WorkWing puts them on it, unless they’re already booked for that window or their access has ended, in which case the job is created for you to staff.
A generated job is an ordinary job. Edit it, move it, reassign it, complete it. It carries a Part of recurring schedule badge with a link back, and editing it changes that visit only.
Each one counts against your plan’s job allowance the same way any job does. See Plan limits and overage.
Managing a schedule
Section titled “Managing a schedule”Open the customer and go to Recurring Jobs. Each schedule shows its pattern in words, the time and length of the visit, its notes and its status.
| Status | Meaning |
|---|---|
| Active | Creating jobs |
| Paused | Not creating jobs, and it picks up where it left off when you resume |
| Cancelled | Stopped for good |
Pause a schedule when a customer is away or a contract is under review, rather than cancelling and rebuilding it. Cancelling also cancels the visits it has already created that haven’t happened yet.
To change the pattern, the time or the duration, cancel the schedule and make a new one from a job.
