Audit log
The audit log answers “who did that, and when”. Every change to the records that matter is written down with the person or system behind it, and you can read it, filter it and take it away as a file.
Open Settings > Audit Log. You need the Tenant Admin, Brand Administrator or Operations Manager role. These are organisation-wide permissions, so a custom role cannot be given them.
What is recorded
Section titled “What is recorded”Every create, update and delete on:
- Jobs, customers, locations, resources and observations
- Notes added to a job, a customer, a location or a resource
- Job types, custom field definitions and entity layouts
- Brands and your organisation’s own settings
- People: users, their brand permissions and their membership of your organisation
- Roles
- API keys and webhook endpoints
Each entry records when it happened, whether it was a create, an update or a delete, what it happened to, and who did it. The actor is a person, an API key, a webhook or WorkWing itself running something on a schedule.
This page is about changes. Who looked at personal data, searched for someone or exported their record is tracked separately, in the privacy audit trail.
Reading the log
Section titled “Reading the log”The page shows the 100 most recent entries, newest first. Two dropdowns narrow them: one by what happened (Created, Updated, Deleted) and one by what it happened to.
Click a row to open it. You get the actor’s name, a before-and-after comparison of the fields that changed, whatever extra context the entry carries, the IP address the request came from, and two identifiers: a request id and an event id. Quote those if you contact support about a particular change.
Where the record still exists, the entity is a link, so you can jump straight from the entry to the job or customer it is about.
Exporting
Section titled “Exporting”Export gives you the log as CSV for a spreadsheet or JSON for something that processes it. It uses whatever filters you have set, and unlike the page it is not capped at 100 entries: you get every entry still within your retention period that matches. Narrow first, export second, when you want one slice rather than the lot.
How long entries are kept
Section titled “How long entries are kept”The card at the top of the page shows your own numbers. They come from your plan.
| Plan | Audit entries | Access logs |
|---|---|---|
| Free | 90 days | 30 days |
| Basic | 180 days | 30 days |
| Standard | 365 days | 60 days |
| Professional | 730 days | 90 days |
Professional also carries Archival Enabled, shown as a badge next to the retention numbers.
Personal data inside audit entries has its own, separate period that you set. See Privacy and data.
