Creating a job

Creating a job is where every piece of work starts. Pick the job type, say who it’s for, and you have a work order with a number. The time and the people can wait until later.

To create jobs you need the Operator, Operations Manager, Brand Administrator or Tenant Admin role.

Click Create Job. It’s in the top right of the dashboard, the jobs list and the dispatch console.

A searchable list of your job types opens, each with its description and how long that kind of work usually takes. If you work across several brands, pick the brand at the top of the list first, because job types belong to a brand.

Choose a type and the New Job form opens with it already set. It opens as a dialog. Full form swaps to the same form as a full page and brings what you’ve typed with it.

  • Brand, if you have more than one and haven’t already chosen.
  • Job type. You can change it here, but if you’ve already answered its questions WorkWing asks first, because switching clears those answers.
  • Priority: Low, Normal, High or Urgent. Normal is selected to start with.
  • Customer or Project. Type to search. Both are in the same list, so you can pick a customer for a standalone job, or a project to make this job one of that project’s jobs. Picking a project brings its customer, brand and location with it.
  • Location, once there’s a customer: which of their sites the work is at.

Pick a start date and time, then a duration: 30m, 1h, 2h, 4h, or Custom for anything else. The job type’s usual duration is already selected, and the form shows the finish time as you change it.

Leave the schedule empty and the job waits in the unscheduled list until you place it on the dispatch console. A job can run for 14 days at most. Ask for longer and WorkWing tells you to split the work up.

Add resource opens the picker. Search by name or email, or narrow to a team, and tick as many people as you need. They appear as tags on the form, and the small cross takes one off again. See Assigning resources for what the picker flags and why.

Below that: notes for whoever does the work, files to attach, the fields the job type asks for, and any custom fields you’ve set up for jobs. Attachments are uploaded when the job is saved, not before.

If the job type includes an integration, its button sits with the rest of the fields. Fill in whatever the integration needs, then run it. Some answer straight away and fill other fields in for you; others go off to the external system and come back with a result. Results from before the first save live in the form only, so leave without saving and they’re gone.

Click Create Job. WorkWing gives the job its number, sets it to Pending, or Assigned if you put someone on it, and sends a notification to everyone assigned.

The job also keeps its own copy of the job type’s questions as they were when you created it. Edit the job type afterwards and work already underway carries on with the version it started with.

If you close the form with unsaved changes you’re asked before anything is discarded.

  • You’ve hit your plan’s job allowance. The counter next to the brand filter shows where you are. See Plan limits and overage.
  • The finish is before the start, or the job runs longer than 14 days.
  • A required field is empty. The form lists what’s missing at the top.
