Data export

Data export hands you your own records as files: for a spreadsheet, for loading into another system, or as a copy you keep yourself.

Open Settings > Data Export. You need the Tenant Admin role, and it is the only role that can export. Nobody else has the link in their settings menu.

Exports cover your whole organisation, every brand included.

What Formats What is in it
Customers CSV, JSON Customer records with their contact details and custom fields
Jobs CSV, JSON Jobs with status, schedule, assignments and form data
Resources CSV, JSON Your resources with their skills and availability
Locations CSV, JSON Locations with addresses and coordinates
Job types JSON Job types and their form configuration

Click Export CSV or Export JSON on the one you want and the file downloads.

Job types are JSON only. Their form configuration nests several levels deep and does not survive being flattened into columns.

CSV opens in Excel, Google Sheets or anything else that reads a spreadsheet, and is the one to send a colleague. JSON keeps the full structure, including the nested parts, and is the one to feed another system.

Export All Data downloads a single ZIP holding every one of the above, CSV and JSON side by side, with job types in JSON. It also carries a record of your attachments and a manifest.json listing the files and how many records are in each.

The attachment file lists what is attached and where, not the photos and documents themselves. A ZIP is therefore not a full backup of your site photos.

Large exports take a moment to build; the file arrives when it is ready.

Customers and jobs are capped at 100,000 records each. If you are past that, the API is the way to pull everything through, in pages you control. See Getting started with the API.

An export holds what WorkWing still has. Anything already deleted under your retention settings is not in it, so an export is not a way to recover something that has aged out.

To answer a subject access request about one person, use the per-person export under Privacy and data instead. This page is bulk records, not one individual’s file.
