Adding a resource
There are two ways someone ends up on the resources board, and the first one covers almost everybody.
Invite them
Section titled “Invite them”Open Settings > Team Members and click Invite colleague. Enter their work email, choose the Field worker role, and send it. When they accept the invitation, WorkWing creates their resource record, gives them access to that brand, and they can log into the mobile app and start receiving jobs. You don’t have to do anything else. Onboard your first field engineer follows one person from the invitation through to a test job on their phone.
Contractors and subcontractor crews go through Invite external worker on the same screen instead. See External workers.
Or build the record by hand
Section titled “Or build the record by hand”Use this when the person is already in your organisation with another role and also goes out on jobs, for instance an operations manager who covers a route on Fridays.
- Open Resources and click Create Resource.
- Pick them under User Account. The list is your organisation’s members.
- Fill in the rest and click Create Resource.
You need the Operations Manager, Brand Administrator or Tenant Admin role, and a spare seat on your plan. The counter next to the button shows how many you’ve used, and the button stops working once you’ve used them all.
What’s on the form
Section titled “What’s on the form”The form is your organisation’s Resource layout, so a colleague may have changed it. Out of the box it asks for three things.
User Account is who this record belongs to, and it’s required. It can’t be changed afterwards, so if you pick the wrong person you’ll need to delete the record and start again.
Available decides whether auto-assignment may pick them. It’s on by default. Turn it off for someone who takes work only when a dispatcher hands it to them. It has nothing to do with the Available, On break and Unavailable status they set from their phone.
Tags are free labels for filtering and grouping: a region, a shift, a specialism. Type them separated by commas.
Their name, email and phone come from the person’s own account and aren’t editable here. Any custom fields you’ve set up for resources appear on the form too, and files can only be attached once the record has been saved.
Once they exist
Section titled “Once they exist”- Set their working hours so the scheduler warns you when a job falls outside their shift.
- Put them in a team and record their skills, which is what makes job types with required skills match the right people.
- Assign them a job.
A resource is offered work in the brands ticked under Brand access: a card on the Create Resource form, and a tab on their record once it exists. Only a Tenant Admin sees it. Removing a brand means they aren’t offered new work there, and jobs already scheduled for them in that brand stay assigned.
