Team members

Settings > Team Members lists everyone who can get into your organisation. It’s where you invite people, promote someone to admin, and take access away. You need the Tenant Admin role to open it.

Each row is one person: their name, the email they sign in with, whether they’re a Tenant Admin or a Member, the role they hold in each brand, whether they’re active, and the date they joined. Your own row carries a You badge.

External workers get badges of their own on the name: External, the company they come through, the date their access ends, 2FA required if you asked for two-factor when you invited them, and Can’t sign in if their account can no longer get in. The row shows two brand roles; where someone has more, the rest collapse into a count badge.

Click Invite colleague, enter their work email, and pick a role. Operator is selected to start with.

  • Brand administrator can configure the brand and manage everyone working on it.
  • Operations manager can run jobs and resources and read reports, but not change brand settings.
  • Operator can schedule and manage jobs, but not change brand settings.
  • Field worker sees the jobs assigned to them and works them in the mobile app.

Any custom roles you’ve built are offered too. Then pick the Brand they’ll hold that role in, and click Send invitation. WorkWing emails them a link that works for seven days. The invitation shows under Colleague invitations with the role, its expiry date and a Revoke link while it’s still pending. If you’re out of seats, WorkWing tells you rather than sending it.

When they accept, they get that role in the brand you picked. A field worker also gets a resource record, so they’re in the dispatch pool and can be assigned work straight away. Nobody becomes a Tenant Admin by accepting an invitation, so promote them afterwards if that’s what you need.

Open the actions menu on their row and choose Change role. Pick the brand, if they’re in more than one, and the role they should hold there. This changes what someone can do in a brand they already belong to; to give them a new brand, use Add to brand.

Moving someone to Field worker puts them in that brand’s dispatch pool, so they can be scheduled straight away. Moving them away from it means they aren’t offered new jobs, and anything already assigned to them stays assigned. The action isn’t offered on external workers or on your own row.

Someone who’s already a member can’t accept a second invitation. To give them a role in another brand, open the actions menu on their row and choose Add to brand. Pick a brand they aren’t in yet and the role they should hold there, and click Add. Their roles in their other brands don’t change.

Adding someone as a Field worker also puts them in that brand’s dispatch pool. The action is only offered when there’s a brand they aren’t in yet, and not on external workers or on your own row.

Click Invite external worker for someone whose login you don’t own: a subcontractor, or a crew from another firm. You set the date their access ends, whether they need two-factor, and whether the arrangement is with the person or with their company. They connect with an account they already have.

Pending ones show under Pending external invitations, with the arrangement, the access end date and whether two-factor is required. External workers covers what they can see and how the access expires.

Open the actions menu on their row and choose Change Admin Status. Turn Admin Status on and click Save. A Tenant Admin can do everything, across every brand, including billing and this page.

The action is on active members of your own team. It isn’t offered on external workers, or on your own row.

Open the actions menu and choose Remove Member, then confirm. Their access to your organisation ends at once. Removing someone frees up their seat.

You can’t remove yourself.

Your plan sets how many team members you can have. Everyone counts, including Tenant Admins and field workers. External workers draw on a separate allowance, so a subcontractor never uses up a staff seat.

Plan Team members External workers
Free 5 0
Basic 250 125
Standard 500 250
Professional 1000 500

The seat counts on the higher plans are fair-use ceilings rather than a limit you’re meant to bump into. Ask us if your team is bigger. Account > Billing shows how many you’ve used.
