Resource details

The resource page is the full picture of one person: what they’re doing now, what they did earlier, what they’re qualified for and when they’re around. Open it from the resource hub by clicking someone and then Full Profile, or from their name on any job.

Their name and current availability, how long they’ve been with your organisation, then their email and phone, either of which you can click to copy. Their tags sit underneath as chips.

Three counts follow: active jobs, jobs today, and how many tags they carry. Call dials them. Message sends a line to their phone, described below.

On the right is a small map of their last known position with Last seen and how long ago, and a Route button that opens directions to them in Google Maps. Someone whose phone hasn’t reported a position has no map.

The dropdown at the top of the page sets their availability on their behalf: Available, On Break or Unavailable. Use it when someone phones in rather than updating their own phone. It needs the Operations Manager, Brand Administrator or Tenant Admin role, or a custom role holding the manage-status permission.

Message sends a note to the WorkWing app on their phone. Messages go against a job, so pick which of their live jobs it belongs to and type the message. If they have no live jobs, WorkWing says so and you’ll need to assign them one first. They can’t reply from the notification; the conversation carries on in the job. See Messaging the field.

Details is the record itself, laid out the way your organisation’s resource layout says, plus any custom fields you track. Their name, email and phone come from their own account, so those aren’t edited here.

Documents & Certificates sits at the bottom of the same tab. Each file is filed under General, Certificate, Qualification or ID Document, and can carry a document number, a description and an expiry date. WorkWing marks each one Valid, counts down the days when the expiry is within three months, and turns it red once it has passed, so you can see at a glance whose gas ticket is about to lapse.

Activity is a day-by-day timeline of what they did: availability changes, breaks started and ended, and each job they acknowledged, set off for, arrived at, started, finished or couldn’t complete. The arrows move a day at a time and the calendar jumps to a date.

Routes maps where they actually went. Job Segments colours the trip to each job, and clicking a job shows only that leg. Timeline plays the day back with a scrubber. Pick a different date with the arrows or the calendar.

Notes & Activity is free text your team writes about this person, oldest at the top, each with who wrote it and how long ago.

Skills lists what they’re qualified to do and any certifications, with expiry dates. Everyone who can see the resource can read it; only Tenant Admins can change it. See Teams and skills.

Brand access is which of your brands this person can work in, with a switch for each. Only Tenant Admins see this tab, because only a Tenant Admin can change brand access.

Switching a brand on takes effect immediately. Switching one off asks you to confirm, and tells you how many scheduled jobs they hold in that brand: those jobs stay assigned to them, and it is only future work in that brand that stops being offered to them. Accepting an invitation to a brand grants access too, so someone invited to two brands already has both.

Working hours and Time off appear when you’re allowed to edit resources. Both are covered in Availability and location.

Edit opens the same form used to create the record. User Account is fixed once the record exists.

Delete asks you to confirm. Someone who has ever been assigned a job cannot be deleted, and the message tells you so; reassign or remove those jobs first. Deleting the record removes their brand access, team memberships, skills, documents, working hours and recorded time off. It does not delete their login: they remain a member of your organisation, and you remove that from Settings > Team Members.

Editing and deleting need the Operations Manager, Brand Administrator or Tenant Admin role.
