Creating a project

There are two ways in. Create the project first and add its jobs, or create a job and point it at a project you already have.

To create a project you need the Operator, Operations Manager, Brand Administrator or Tenant Admin role.

Click New Project, in the top right of the jobs list or the dispatch console. A form opens.

  • Title, optional. A name for the site or the engagement. Without one, the project goes by its number.
  • Brand, if you have more than one.
  • Sign-off form, optional. A job type whose completion form is filled in once, when the whole project finishes. Leave it on No sign-off form if there’s nothing to sign.
  • Priority: Low, Normal, High or Urgent. It starts on Normal.
  • Customer. Required. Every job in the project is for this customer.
  • Location. Filled in with the customer’s main location once you pick them, and you can change it.
  • Scheduled Start and Scheduled End, with the same duration buttons as a job. This is the window the pool jobs run in. You can leave it empty and set it later.
  • Add Resource builds the crew: the people who can claim from this project’s pool.
  • Notes.

Click Create Project. WorkWing gives it a number and asks you to fill it.

The second step is headed Project PRJ0001 created and gives you two ways to put work in it.

Add job opens the job form for a new job in the project. The customer, brand and location come from the project, so you only pick the job type and fill in the work. Leave the schedule empty and the job joins the pool.

Add existing opens a picker of jobs you already have. Only unscheduled jobs in the same brand that aren’t already part of another job can be added. Search by job number or customer, tick the ones you want, and click Add.

Click Done when you’ve finished. You can always come back: every project’s Jobs section does the same two things.

Wherever you create a job, the customer field is a combined Customer or Project picker. Type to search and the results come back grouped. Pick a customer for an ordinary job, or pick a project and the job is created inside it. The customer, brand and default location come down from the project, and the job type is set to whichever one you used last on that project. The schedule strip tells you what will happen: During PRJ0001. Leave the schedule empty for a pool job.

You can also move jobs you already have. From the jobs list, tick them, click Add to project, and choose the project. A job can go in when it’s unscheduled, in the same brand, and not already part of another job. Anything that doesn’t qualify is listed under Skipped with the reason, and the rest still go in.

Data import is the quickest way to fill a project with a long list of jobs. Map a column to Parent job number: put the project’s number in it, leave the scheduled start empty, and every row lands in that project’s pool. Each row’s customer has to be the project’s customer.

One import uses one job type for every row, so a project with a mix of job types takes one import per type.
