Assigning resources

Assigning someone connects them to a job. Their phone tells them about it, and the job moves from Pending to Assigned. You can put as many people on a job as the work needs.

To assign people you need the Operator, Operations Manager, Brand Administrator or Tenant Admin role.

The picker turns up in three places: on the create form under Add resource, on the job’s edit page under Assigned Resources, and in the dispatch console’s job panel.

  1. Click Add resource.
  2. Search by name or email, or tap a team’s name to show only that team.
  3. Tick everyone you want.
  4. Click Assign.

Each row shows the person’s name, email and teams. What the list will not do is decide for you: it offers everyone you can assign, whether or not they hold the skills the job type asks for.

Unavailable. Someone who has booked time off across the job’s window drops to the bottom of the list with a red Unavailable badge. You can still pick them; WorkWing asks you to confirm with Assign anyway before it goes through. See Availability and location.

Cannot sign in. Someone whose access has been suspended or removed sits at the very bottom, greyed out, and can’t be picked at all. Restore their access first, or pick someone else.

Travel time. In the dispatch console, when the job has a site on the map, the picker works out how far each person is from it, sorts the list nearest first and shows the journey time under each name. The create form and the edit page don’t do this, so use the console when distance is what you’re choosing on.

Open the job’s edit page, find them under Assigned Resources, and choose Remove from the menu on their row. WorkWing asks you to confirm.

Take the last person off and the job drops back to Pending, unless it’s in progress, on hold, incomplete, waiting to be rebooked, or already closed. Those the job holds on to.

The job’s status is the overall picture. Each person on it also has their own assignment status, which is their part of the work:

Assignment status What it means
Assigned On the job
Confirmed The job has been accepted
Acknowledged They’ve opened it and know it’s theirs
En Route On the way
On Site Arrived
Completed Their part is done
Failed Their part couldn’t be done

Your engineers move their own assignment status from the mobile app, which walks Assigned to Acknowledged to En Route to On Site and then Completed or Failed. Confirmed is there for work driven through the API. While someone is en route, the job page shows their expected arrival time.

The speech-bubble button next to someone on the job page sends a message to just them about this job. To reach everyone assigned at once, use the composer at the bottom of the page. See Messaging the field.
